JELD-WEN is currently seeking a Office Support Services Coordinator to join our growing team.
SUMMARY OF GOALS AND OBJECTIVES OF THE POSITION: Under direct supervision, the Office Staff position(s) is capable of performing the job duties of handling credits, investigating, issuing, and tracking warranty log as well as other administrative tasks.
PRIMARY DUTIES AND RESPONSIBILITIES/ESSENTIAL FUNCTIONS: Under direct supervision, the Office Staff position(s) is capable of performing the job duties of handling credits, investigating, issuing, and tracking warranty log as well as other administrative tasks.
Printing production schedules and distributing.
Receiving PO’s and verifying production employees receive.
Be a backup for Invoicing, Accounts Payable, and doing PO’s.
Researches any invoicing discrepancies and makes any necessary corrections.
Prepares credits/billings per established JELD[1]WEN guidelines and keys them to customer’s accounts in an accurate and timely manner.
Responsible for conducting weekly cycle counts and posting in the system, doing RGA’s to vendors, and other job duties as needed.
Operates in a professional office environment and uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Maintains their assigned work areas and equipment in a clean and orderly condition.
Position may be located in and/or near the manufacturing portion of a facility, and thus follows prescribed safety regulations per plant and facility policies and Occupational Safety and Health Administration (OSHA) guidelines.
This includes, but is not limited to, the use of safety glasses, ear plugs, masks, and other appropriate safety equipment in order to be on the plant floor, and inside and outside of the plant facilities and grounds.
Performs all job duties in a safe and efficient/effective manner.
Reports unsafe conditions to appropriate supervision.
Performs other office related administrative duties as assigned by management.
PHYSICAL DEMANDS: The physical demands described here are representative, but not all inclusive, of those that must be met by an employee to successfully perform the essential functions of this job.
The employee is regularly required to talk or hear.
The employee is frequently required to sit, stand, walk, use their hands and fingers, handle or feel, and reach with their hands and arms.
This position is required to sit, balance, stoop, kneel, or crouch.
Must be able to lift files, open filing cabinets and bend or stand on a stool as necessary.
Reasonable accommodations under the Americans with Disabilities Act (ADA) will be reviewed and considered on a case-by case basis.
WORK ENVIRONMENT: While performing the duties of this job, the employee may on occasion be exposed to fumes, cleaning solutions, airborne particles, moving mechanical parts and machines, vibrations and loud noises.
All safety protocols including OSHA guidelines as mentioned above are mandatory.
KNOWLEDGE AND/OR ESSENTIAL SKILLS: High School Diploma or GED; Associates Degree preferred but not mandatory; three (3) to five (5) years of progressively responsible experience in accounts receivable/payable or as an account clerk at JELD-WEN or a comparable facility desired; a combination of certifications, educational classes and/or institutional knowledge and experience may be substituted in lieu of an Associates Degree at the discretion of management.
Must have excellent verbal and written communication skills and multi-tasking abilities; Must be proficient in Microsoft Office and other appropriate JELD-WEN software, computer programs and applications; Must have the ability and motivation to learn.
Must be able to lift up to approximately 20+/- lbs; Be very energetic and enthusiastic with a positive attitude with employees, management and customers; Must be able to receive frequent supervision.
Must have the ability to work in a fast-paced office and/or manufacturing environment.
Must have a valid driver’s license and reliable transportation and be dependable; Be a team player; Be results driven.
Must recognize unsafe conditions and take appropriate action on same to ensure the safety of themselves and others in the building and facility.
Must be able to work overtime as needed.
