The Executive Assistant / HR Generalist will support the President and CEO in day to day communication, coordinating of schedule, along with general onboarding and job postings of positions within the organization.
Duties: *ESSENTIAL JOB FUNCTIONS:* *Executive Assistant* * Schedules meetings and interviews as requested by the President & CEO * Maintain a high level of security and confidentiality of sensitive information.
* Provide comprehensive support to assist the President and CEO in meeting deadlines and/or time frames for various programmatic functions, reports, meetings, etc.
* Demonstrate proactive and personal initiative.
* Attends committee and Board meetings, prepares, and distributes meeting agendas, compiles, and distributes notes of meetings, maintains committee and Board documentation and correspondence files, and follows up on detail to maximize efficient operations.
* Responsible custodian of taking employee meeting minutes and having copies available for easy access.
* Ensures items for board review and vote are compiled for the President and CEO for each monthly meeting and any subcommittee meetings; puts together board packets.
* Develop a special events calendar for the President and CEO to honor the Board, Staff, and various types of major donors including birthdays and anniversaries.
* Coordinate and maintain a reasonable inventory of office supplies while being cognizant of the budget and receiving approval from the President and CEO before ordering.
* Create & update PowerPoint presentations concerning employee benefits, new hire orientation, company organizational charts, and additional information.
*HR Generalist* * Performs customer service functions by answering employee requests and questions.
* Maintain records documenting pay, organizational chart, policy tracking, and any other documents as needed.
* Organize and lead all aspects of onboarding of new employees.
* Oversee the Human Resource function including benefits plan establishment and review, compensation planning, maintenance of personnel records, and other areas as needed.
* Develops, recommends, implements, and administers organizational policies, procedures, and accuracy of Employee Handbook.
* Develop processes to recruit and retain employees for all positions within the organization.
* Responsible for record retention including maintaining and removing records when applicable.
* Scheduled walk-throughs in all departments and at the north building with face-to-face interaction.
*PHYSICAL/LIFE SKILLS/PROFESSIONAL REQUIREMENTS:* * Excellent organization and telephone skills are mandatory.
* Strong attention to detail.
* Proficient with Microsoft Office Suite or related software.
* Professionally mature with the ability to handle multiple priorities and work independently under general supervision.
* Dependable and Punctual.
* Ability to accurately transcribe and/or extract information from drafts, notes, and memos.
* Must be willing/able to work overtime and weekends as requested.
This position will require a flexible schedule due to occasional meetings and events being outside regular business hours.
* Must be at least 18 years of age or older.
* Must have reliable means of transportation to and from work.
* Must be willing to travel, including overnight or longer.
* Must have a strong sense of meeting deadlines and follow-up capabilities.
* Excellent problem-solving ability.
* Excellent verbal and written communication skills.
* Excellent ability to work with a diverse group of people with successful results.
* Ability to work under conditions that generate frequent interruptions and maintain the accuracy of detail under the pressure of meeting deadlines.
* Ability to detect errors in correspondence or printed materials.
*EDUCATIONAL REQUIREMENTS:* * Four-year college degree preferred.
* Minimum of five years of increasingly responsible executive assistant positions at the senior management level or previous experience as an executive assistant.
* Three to Five years of HR experience preferred.
