Job Title: Property Tax Settlement Coordinator Department: Auditor’s Office Reports To: Auditor FLSA Status: Nonexempt Principal Function: The Property Tax Settlement Coordinator is responsible for preparing and balancing the tax records to produce the yearly tax billing, performs distributions of taxes, files required reports with the State and uploads data onto the Gateway.
Prepares the abstract, spring and fall settlements, excise taxes, and certifies net assessed valuations.
Essential Duties and Responsibilities: Duties include, but are not limited to: 1.
Balances and distributes tax dollars, excise taxes, financial institution income taxes (FIT), commercial vehicle excise taxes (CVET); uploads the Report of Securities (Form 22s) to the Gateway.
2.
Issues checks to taxpayers that have overpaid or have surplus taxes on their properties semi-annually.
3.
Processes all Claim for Refund Form 17Ts for citizens.
4.
Uploads files and balances the Certified Net Assessed Value (CNAV) with the Assessor’s Office and updates all deductions and exemptions, annexations, abatements, figuring tax increment financing (TIF) rates and uploads all data to the Gateway for submission.
5.
Balances the abstract to include: preparing reports; balancing, reviewing and verifying that all data is correct; calculating the local income tax (LIT) (1% property tax replacement credit (PTRC) and residential property tax replacement credit (RPTRC)); uploading and calculating the taxes ensuring they are calculated correctly; and creating the tax duplicates and extracts for the State.
6.
Maintains the taxation records to include: adding and/or removing deductions and exemptions due to transfers and correcting parcels and tax increment financing (TIF) as needed.
7.
Ensures that the delinquent accounts from the prior year are rolled correctly to the new year.
8.
Figures and distributes wheel and surtax dollars monthly.
9.
Utilizes the XSoft tax software program for duties to include: updating assessed valuations, updating the ditch tax rates, activating ditches, calculating the ditch taxes, attaching sewer and weed liens and calculating them to put on the taxes and adjusting as needed.
10.
Uploads and balances the mobile home interface yearly.
11.
Acts as a back-up to the Auditor, as needed.
12.
Assists customers on the phone and at the counter with filling deductions, deeds, transfers information, etc.
13.
Maintains an effective communication process with the Auditor.
Supervisory Responsibilities: This job has no supervisory responsibilities.

Education and/or Experience: High school diploma or general education degree (GED) and three-years related experience and/or training; or equivalent combination of education and experience.
Previous clerical and/or administrative experience working in a government related environment is desired.

* Computer software skills required include: Microsoft Outlook, Word, Excel, PowerPoint and MVP Tax Software, * A basic understanding of general accounting principles and practices and report writing, while paying close attention to detail is required.
* A working knowledge of the Indiana Code regarding deductions and exemptions, publications, and all other aspects of State and County government is required.
* A working knowledge of the Department of Local Government Finance (DLGF) regulations regarding State and County government is required.
* A working knowledge of Indiana tax law, property taxes, excise taxes, financial institution income taxes (FIT), commercial vehicle income taxes, and tax increment financing (TIF) rates is required.
* The ability to work with other County offices internally and externally to resolve customer issues is required.
* The ability to manage multiple projects in a fast-paced, deadline-driven environment while paying close attention to detail is required.
* The ability to attend meetings and conferences, as needed.
* The ability to operate a computer, printer, copy machine, scanner, fax machine, and other office equipment is desired.
* The ability to speak, read and write in English is required.
Spanish is desired.

to 4:00 p.
m.
, Monday through Friday, this position may require work beyond these hours and on the weekends.
It also may require the ability to drive a County vehicle.
Thus, a valid driver’s license may be required.
