Incumbent serves as Probation Administrative Assistant and Bailiff for LaGrange Circuit Court, responsible for providing administrative support to Probation Officers and other Department personnel.
*DUTIES:* * Answers telephone and receives office visitors, responding to inquiries, providing information and assistance, taking messages, and/or directing callers to appropriate individual or department.
* Enters new probationer data into Case Management system and assists in requesting and/or forwarding information to other probation departments and law enforcement agencies.
Maintains, updates and secures pending/active and closed probation files.
* Files probation paperwork with County Clerk and forwards files to Judge for hearings.
* Performs a variety of clerical tasks, including, but not limited to, typing and mailing correspondence, preparing quarterly and annual reports, faxing documents, distributing mail, maintaining and ordering office supplies/equipment, and preparing copies of Court files/documents as directed.
Assists Probation Officers with maintaining calendars and scheduling/re-scheduling appointments as necessary.
* Tracks probationer fines, payments, community service, and end dates for time served, and files appropriate Court documents as probationers progress through probationary period.
* Assists Probation Officers with electronic monitoring program.
* Occasionally provides testimony in legal proceedings/court.
* Performs related duties as assigned.
*JOB REQUIREMENTS AND DIFFICULTY OF WORK:* * High school diploma or equivalency with prior executive secretarial experience.
Associate Degree preferred.
* Must be at least 21 years of age.
* Ability to meet all Department hiring requirements, including passage of a drug test.
* Knowledge of standard practices and procedures of the Court and legal terminology used in probation proceedings, and ability to communicate with and assist probation personnel and various government and public agencies and departments as necessary.
* Working knowledge of standard office procedures and computer software applications used by the Courts, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
* Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and detailed written reports as required.
* Knowledge of standard filing systems and ability to create and maintain Department files.
* Ability to operate standard office equipment, including computer, typewriter, calculator, fax machine, copier, telephone and postage meter.
* Ability to effectively communicate orally and in writing with co-workers, other County departments, jails, other probation offices, Courts, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
* Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.
* Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
* Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.
* Ability to understand, memorize, retain, and carry out oral or written instructions.
* Ability to compare or observe similarities and differences between data, people or things.
* Ability to compile, collate and coordinate data, make determinations, and present findings in oral or written form.
* Ability to work alone with minimum supervision and with others in a team environment, often amidst frequent distractions and interruptions, and on several tasks at the same time.
* Ability to apply knowledge of people and locations, count/make simple arithmetic additions/subtractions, and read/interpret Court documents.
* Ability to provide testimony in legal proceedings/court.
*RESPONSIBILITY:* * Incumbent performs duties according to a flexible, customary routine and standard policies and practices of the Court.
Assignments are guided by definite objectives using a variety of methods or procedures, with incumbent referring to supervisor for unusual matters, such as policy interpretations.
Decisions are always determined by specific instructions or existing, well established policies and procedures.
Work errors are primarily detected or prevented through supervisory review or notification from other departments.
Undetected errors could lead to inconvenience and/or loss of money to other agencies or the public.
*PERSONAL WORK RELATIONSHIPS:* * Incumbent maintains frequent contact with co-workers, other County departments, jails, other probation offices, Courts, and the general public for the purpose of exchanging information.
* Incumbent reports directly to Chief Probation Officer.
*PHYSICAL EFFORT AND WORK ENVIRONMENT:* * Incumbent performs duties in an office environment, involving sitting for long periods, keyboarding, bending, reaching, crouching/kneeling, close/far vision, speaking clearly, and hearing sounds/communication.
Incumbent maintains considerable contact with probationers and may be exposed to irate/hostile persons.
